Single Upload

To add an asset you need to first upload the file, and then you will be asked to fill out the attribute values or metadata for the file.

If you click on the ‘Single Upload' menu item, you will see the following page:

Click the 'Browse' button (in the 'File' field) to browse to the file you want to add. Then click the ‘Upload' button.

The file will then be uploaded to the server: this may take some time, depending on the size of the file.

Note: many browsers do not cope very well with uploading files that are over about 50MB in size. If you want to upload an asset file that is larger than this we recommend that you use the Bulk Upload function.

Once the file successfully uploads, you will be asked to enter the attribute values for the asset:

You should try to enter as much information about the asset as you can, as the more descriptive the metadata the easier it will be for users to find the image when they perform a search. Fields marked with (*) are mandatory, which means you must enter a value for them.

The bottom section of the form enables you to add the asset to one or more categories or Access Levels. To add the asset to a category, select the category you want in the 'Available categories' dropdowns and then click 'Add' to add that category to the box showing the categories you have chosen:

There are some radio buttons before the final 'Submit' button which allow you to choose the manner in which your asset is uploaded to the system:

  • Submit to live. On pressing Submit, the item will immediately be live in the system.
  • Submit for approval. The item will be passed to an administrator for approval before going live in the system.
  • Do not submit yet. The item will not be visible in the system but will be stored in your unsubmitted items, until you are ready to submit it to live.

If there are any problems with your submission, for example if you do not include values for all mandatory fields, you will see a message informing you of the error, which you should correct. Otherwise, if the asset was uploaded successfully, you will see a success page.
